A disciplined buying strategy instead of a last minute renewal

Procurement is what separates a business that reacts to its renewal from one that plans it. Instead of collecting three quotes in the final fortnight of a contract, a procurement approach defines when you will buy, what you will buy and what level of price risk the business is willing to carry, then executes against that plan.

Building a procurement strategy

A procurement strategy starts with data. We collect twelve to twenty four months of consumption, map it against your operating calendar and identify how sensitive your cost base is to price movement. A business where energy is two percent of turnover can accept more volatility than one where it is fifteen percent, and the strategy should reflect that.

From there we agree the buying window, the acceptable contract lengths and the trigger points at which we will recommend fixing. This is documented so that decisions are made against an agreed policy rather than in the heat of a deadline.

Running a competitive tender

A tender is only competitive if every supplier prices the same thing. We prepare a standard pack containing meter numbers, technical details, consumption history, credit information and the required contract structure, then issue it simultaneously to our supplier panel with a fixed response deadline.

Offers are validated on the day they land because commercial energy prices expire quickly. We normalise every quote into a single annual cost comparison, check the contract terms behind it and remove any offer with conditions that would create risk later, such as unusually short termination windows or aggressive pass through clauses.

Timing the market without gambling

We do not claim to predict wholesale markets. What we do is remove the worst outcomes: buying in the last week before contract end, buying into an obvious spike, or letting a site drift onto deemed rates. Historic analysis consistently shows that businesses who prepare early and buy against a plan pay less than those who buy under time pressure.

For clients with larger volume we build tranche strategies, splitting the required volume into portions bought at different points, which averages the purchase price and reduces the impact of a single badly timed decision.

Budgeting and reporting

Once contracts are placed we provide a forward budget covering the contracted term, including expected non commodity movements so that finance teams are not caught out by increases that were never part of the unit rate. Where clients need it we deliver quarterly reporting on consumption, spend against budget and portfolio contract status.

For multi site groups this reporting becomes the single source of truth on energy: which sites are contracted, when they expire, what they cost and where consumption is drifting.
